Equipment rental software for the equipment you actually rent

What is equipment rental software?

Equipment rental software runs the commercial side of a rental yard — availability, rate books, reservations, rental agreements, condition reports, billing and fleet visibility — in one system instead of phone, text and a spreadsheet. The catch is that the details differ by what you rent. A crane goes out bare or operated. A rigging package leaves as forty serialized items. An aerial lift carries an inspection clock that moves on its own. Generic tools flatten those differences. These pages take them one equipment type at a time.

Why the equipment type changes the software

“Rental is rental” is how generic systems sell. It is not how yards lose money. The expensive mistakes live in the details that differ by what is on the truck:

The agreement differs

A bare crane rental and an operated job carry different liability on the same crane. Operated work bills hours; bare rental bills the rate book. If the system only knows one agreement shape, you are editing PDFs by hand again.

The records differ

ANSI A92 puts an inspection clock on every aerial lift. ASME B30.5 does the same for mobile cranes on a different cycle. Rigging carries a rated capacity per serial. Same software, three different sets of records that have to be current on the day.

The billing differs

Heavy equipment bills one-day, one-week and four-week rates with delivery and haul on both ends. Long aerial rentals bill on a cycle. Rigging bills for the pieces that never came back. One invoice template fits none of them.

The returns differ

An excavator comes back as one machine plus three attachments. A rigging job comes back as forty serial numbers. If the return is a single checkbox, the missing pieces are your margin.

Equipment rental software, answered

The questions every yard asks before they look at a system — answered straight.

A system that runs the commercial workflow of a rental yard — availability, rate books, reservations, rental agreements, condition reports, returns and billing — in one place, instead of phone, text and a spreadsheet. Good systems also carry the equipment-specific layer: inspection records per unit, serialized rigging, operated versus bare agreements.

You need software that handles your failure points, whether or not it is marketed that way. A crane operation needs bare and operated kept apart on paper; a rigging shop needs serial-level returns. MovoGo is one platform — these pages show, per equipment type, exactly how the workflow maps onto it before you book a demo.

Most customers are running within one business day. Onboarding, importing your asset list and rate book, and training are included — no implementation invoice. Fleet size does not change the process.

No, it feeds it. Invoices raised in MovoGo carry sales tax calculated by the delivery address and post to QuickBooks Online; it also works with Foundation Software and Sage 300 CRE, with CSV export in a standard ledger layout for anything else.
